Our first wholly sponsored event is this April (see events, Kinser), and we've been able to squeak by this time with a waiver. We need to address the insurance issue soon, if for no other reason than the fact that it opens up many other sites to us for events.

Anyone want to share information/horror stories/advice?

I am also seriously considering starting a school//study group locally, so comments on insurance for that would be welcome as well.

Two years ago I discussed this with our insurance agent - work/home/car/medical/friend and he said roughly $350.00 to $400.00 per year for the Knights of St. Denys, but as long as we didn't get paid and the members all had homeowners & health insurance, it wasn't necessary. This was for a commercial policy for an incorporated group.
What I think you are asking about is event insurance - this will vary by your location, range of activities, etc. but should run $150.00 to $250.00 per event. He told me in Indiana, we didn't actually have to incorporate - just have stationary with a letterhead of the group.

I looked into insurance for a couple past events. What I found out was this:

1. FIgure out why you think you need insurance. are you worried about covering the re-enactors? if they have their own insurance, then you dont need it.

are you worried about covering losses to the site? the siteowner should have homeowners insurance or their own larger policy that should cover losses (and homeowner insurance has VERY deep pockets)

are you worried about members of the public getting hurt? again, they should have thier own policy for most stuff. You dont have to sign a waiver to go to the County Fair, for example, but the fairgrounds has their own really big insurance policy. The folks putting on the goat show dont have their own policy, being covered under the umbrella of the sites own policy.

Think about what could happen. Joe re-enactor accidentally chops his foot off with a pike. His insurance doesnt want to pay for this, and so looks for someone else to pay.

If you took out a special insurance policy, it could be said that you KNEW that something could happen, ie admitting liablility...and there's a nice deep pocket for Joe's insurance to go digging in.

Now, some sites REQUIRE that you have auxilliary insurance. This is a big reason we tend to tag along on SCA events....they have a big fat insurance rider and we dont have to worry about it.

hope this helps some...dont forget that every state is different (ie in Washington, a waiver doesnt mean squat, ie you cant sign away your right to sue).

We've had the insurance for 1 year. Cost us about $30 per person, total about $325. They can write certificates naming sites as "additional insured" and can insure other participants for liability etc. per event.

They specialize in reenactors and fair vendors so they understand our situation. It worked fine for us at Bates Nut Farm for last year's reenactment. They faxed the certificate right to them.

Cute little membership cards, too.
